A Clubessential alternative for concierge-led clubs
Clubessential is a leading club management suite for private clubs with golf, dining and facilities to run. If your club’s service happens off the property instead, the comparison looks different.
The short version
Clubessential builds software for private clubs. Its suite covers a club website, mobile apps, accounting, tee times, reservations, POS, CRM, payment processing and business intelligence. Its reservations product handles tee times, dining, spa and professional services, courts, pools, cabanas and meeting rooms, with charges flowing to a mobile POS anywhere on property. It also offers dedicated solutions for yacht and racquet clubs.
That is software for running a place: the course, the clubhouse, the dining rooms and the books behind them. For a country or golf club, having tee sheet, POS and accounting in one suite is a real advantage.
MyRolodex is built for a different kind of club and firm. City members’ clubs without a course, lifestyle management firms and family offices spend their day arranging things elsewhere: a table across town, a villa, a flight, a gift. MyRolodex organizes that work around the member, the request, the outside vendor and the commission.

When Clubessential is the better choice
If you run a country club, golf club, yacht club or racquet club with tee sheets, courts, dining outlets and a pro shop, choose Clubessential or a suite like it. Tee times, mobile POS, club accounting and a member app that books on-property facilities are the heart of that business, and MyRolodex does not offer them.
It is also the better fit when your controller wants one vendor for the website, POS, payments and the general ledger. Running a club with facilities is a different job from running a concierge desk, and Clubessential is built for that job.
Adding MyRolodex to a club, or moving to it
- 1
Decide what stays
Clubs with a course or clubhouse usually keep their club suite for tee times, POS and accounting, and run their concierge service in MyRolodex. Clubs and firms without facilities often move member management entirely.
- 2
Export members and families
Export member and family records as CSV files. We map them onto MyRolodex profiles so preferences, birthdays and loyalty numbers have a home from the first day.
- 3
Add vendors and connect phones
Load the restaurants, hotels, drivers and suppliers your concierge team uses, with rates and commission terms. Each person connects their Gmail or Outlook and their phone.
- 4
Launch the member app
Publish the member app under your club’s own name, icon and colors so members can see upcoming plans, confirmations and documents, and message their concierge directly.
MyRolodex vs Clubessential: common questions
Anything else, write to hello@myrolodexcrm.com.
Can MyRolodex replace Clubessential for a golf or country club?
No. MyRolodex has no tee sheet, POS or club general ledger. A club that runs a course, courts or dining outlets needs a club management suite for those. MyRolodex is built for the concierge side: member requests, outside vendors, commissions and member communication.
What kind of club is MyRolodex built for?
Clubs whose value to members is service and access rather than facilities: city members’ clubs, travel and lifestyle clubs, and concierge memberships. Lifestyle management firms and family offices use it the same way.
Can a club use Clubessential and MyRolodex together?
Yes, as two separate tools: the club suite for the property, MyRolodex for the concierge desk. We don’t offer a direct Clubessential integration, so ask us in a walkthrough how member records and billing would be split.
Does MyRolodex handle membership dues?
Yes. It bills dues by tier, passes vendor costs through at cost or with a markup, adds service fees, keeps cards and bank accounts on file with auto-pay, and sends one statement per member or family. Statements export to QuickBooks or Xero.
