Luxury travel concierge software that remembers how each client travels

MyRolodex is luxury travel concierge software for teams who plan trips around the person, not the fare. Seat and room preferences, loyalty numbers, passports and every message from the client sit on one record your whole team shares.

What makes travel concierge work hard to organize

Preferences decide the trip
The suite on a high floor, the aisle seat, the driver waiting inside arrivals: these details are why clients use a concierge instead of booking themselves. Usually they live in one advisor’s head.
A trip is more than the booking
A week away means flights, hotels, transfers, dinners, tickets and a spa afternoon, each confirmed with a different supplier. Booking tools handle the reservation, but the whole trip lives in email threads.
Documents and dates for every traveler
Passports, visas and known traveler numbers for each person on the trip. Miss one expiry and the holiday stops at the check-in desk.
Changes at any hour
Delays, missed connections and late requests arrive by text in the middle of the night. Whoever is on call needs the full picture, not a forwarded screenshot.

How MyRolodex supports a travel concierge team

Every traveler’s preferences, kept
Cabin and seat preferences, hotel and airline loyalty numbers, dietary needs and family members on one profile, so any advisor can book the way the client expects. See member profiles
Each part of the trip, tracked
Flights, hotels, transfers, dining and events are separate requests with their own owner and status, all visible together on the client’s profile. See request management
Passports and expiry dates under control
Passports and licenses are stored encrypted, every view is logged, and expiry dates are checked against upcoming travel so renewals happen in good time. See secure vault
The itinerary in the client’s pocket
Confirmations, times, addresses and reference numbers appear in your white-label app and web portal, so clients stop calling from the front desk to ask for a booking number. See member app and portal
Supplier rates and commission logged
Hotels, villa partners, car services and destination specialists with their negotiated rates, and the commission recorded on each booking as it’s confirmed. See vendor management

One client’s long weekend away

  1. Monday, 9:20 am

A client texts her usual advisor about a long weekend in Paris next month with her husband. The text syncs to her profile and opens a travel request, with their seat preferences and hotel loyalty numbers already attached.

  2. Monday, 11:05 am

An intelligent insight flags that her husband’s passport expires shortly after the trip, and explains why it matters. The advisor approves it, and a renewal request opens alongside the booking.

  3. Tuesday, 2:30 pm

The advisor confirms the hotel, a car from the airport and dinner on the first night. Each confirmation lands on its own request, and the commission agreed with the hotel is logged against the booking.

  4. Friday, 6:40 am

The outbound flight is delayed. The client texts from the lounge, and the colleague on call sees the whole trip on one record, moves the car and lets the restaurant know, without waking the advisor.

  5. Friday, 8:00 pm

At dinner, the couple opens the app to check tomorrow’s gallery tickets and car time. Everything they need is there under your firm’s name.

Travel concierge: common questions

Anything else, write to hello@myrolodexcrm.com.

Is MyRolodex a booking engine or a GDS?

No. MyRolodex doesn’t search fares or book inventory, and it doesn’t replace the booking tools, host agency or supplier portals you use today. It keeps everything around the booking: the client’s preferences, documents, messages, confirmations, supplier commission and billing.

How is this different from a travel agent CRM?

Travel agent CRMs are generally built around trips, quotes and supplier bookings. MyRolodex is built around the client relationship across everything they ask for, so one record holds a weekend in Paris, a birthday dinner at home and a gift for their assistant. It suits travel and lifestyle hybrids that do more than travel.

Can clients see their own itinerary?

Yes, in your white-label member app and web portal: confirmations, times, addresses, reference numbers and any documents you choose to share. Internal notes, supplier rates and commission stay on the staff side and never appear to clients.

How is supplier commission tracked?

Each vendor has its negotiated rates and commission agreement on file. When a booking is confirmed, the commission is logged on the request, and reporting rolls it up by vendor and period so you can reconcile against supplier statements.

Can we bill clients in other currencies?

Yes. Billing supports multiple currencies, supplier costs passed through at cost or with a markup, deposits for large bookings and one statement per client or family, with export to QuickBooks or Xero.
