  • Sophie Aldine turns 9 on June 14

Send flowers from the Aldines’ usual florist, with a note from the team.

Why: From Mrs. Aldine’s card: always sends flowers for family birthdays.

  • The Moreaus’ passports expire before Gstaad

Book renewal appointments now so they’re back before the December trip.

Why: Passports renew March 2027. Christmas in Gstaad is on every year.

  • Julian Kessler hasn’t booked in six weeks

He usually books dinner twice a month. A quick check-in text may be welcome.

Why: Request history shows a regular rhythm that has stopped.

What makes lifestyle management hard to organize

One family, several households of detail
A single family can mean three homes, two schools, a yacht crew and a rotating set of nannies and drivers. The details rarely live in one place.
Important dates hide in documents
Passport renewals, visa windows, term dates and insurance renewals are buried in PDFs and email threads. Miss one and a family holiday or a school trip falls apart.
Principals and their staff all make requests
The principal texts you, their chief of staff emails you and the house manager calls. Keeping track of who asked for what, and who approved it, gets harder with every new voice.
A small team can’t afford a single point of failure
With three or four lifestyle managers, each person often holds one family in their head. A holiday or a resignation can leave a family without anyone who knows their routines.

How MyRolodex supports a lifestyle management firm

The whole family on one record
Every family member with their allergies, schools, birthdays and loyalty programs, plus household staff and how to reach them. When a nanny changes, you update one profile. See member profiles
Documents with dates you can trust
Store passports, licenses and cards for every family member in an encrypted vault. Expiry dates are tracked, and every view is written to an audit log. See secure vault
Suggestions drawn from the family’s year
MyRolodex flags a passport that expires before a planned trip, or a child’s birthday that falls during a holiday abroad. Each suggestion explains its reasoning and waits for your approval. See intelligent insights
Every voice in the household, in one thread
Messages from principals, assistants and house managers sync from your own phone and inbox to the right family and request. Nobody has to change how they reach you. See email and text sync
Every cost billed to the right family
School fees paid on a family’s behalf, a contractor’s invoice for the summer house, your monthly retainer: each lands on the right family’s account and statement, so nothing is fronted and forgotten. See billing and payments

A week with the Moreau family

  1. Monday, 9:00 am

A suggestion notes that ski school in Gstaad isn’t confirmed for the children, though the family spends every Christmas there. Camille Roux approves it, and a travel request opens on the family’s profile.

  2. Tuesday, 2:15 pm

Mrs. Moreau’s assistant emails asking for a chalet chef who can cook nut-free. The email syncs to the request, and Camille sees the son’s allergy already noted on his profile.

  3. Wednesday, 7:30 pm

Mr. Moreau texts Camille directly: a school concert clashes with the outbound flight. She moves the flight, and both messages sit on the same request with the change recorded.

  4. Friday, 11:00 am

Camille starts a week of leave. Her manager reassigns her open Moreau requests to a colleague in one step, who reads the full history and picks up the chef booking.

  5. Saturday, 10:00 am

The family opens their app and finds the new flights, the chef confirmation and ski school details on one timeline.

Lifestyle management: common questions

Anything else, write to hello@myrolodexcrm.com.

Is this built for a firm with only a few clients?

Yes. MyRolodex works as well for three people serving four families as for a larger operation. Profiles hold the depth ultra-high-net-worth families need: several homes, many staff contacts, travel documents for each family member and years of preferences.

Can household staff be recorded on a family’s profile?

Yes. Add drivers, nannies, house managers and chefs with their contact details and notes. When one of them texts or emails your team, the message syncs to the right family, so you know who said what.

How is sensitive family information protected?

Documents go into an encrypted vault, access depends on each person’s role, and every view of a document is recorded in an audit log. You decide which of your lifestyle managers can open which family’s records.

Do the AI suggestions ever act on their own?

Never. Intelligent insights are suggestions only. Each one explains why it appeared, such as an expiring passport or a birthday during a planned trip, and nothing is booked, sent or changed until someone on your team approves it.
