What makes a corporate concierge program hard to run
- Many employees, one desk
- A provider can serve employees from several client companies at once, all writing to the same team. Each person should be served as an individual, even if your team has only spoken to them once before.
- Volume with a personal touch
- Corporate programs bring a steady stream of dinner reservations, gifts, tickets and family holidays. The service still has to feel personal, which means remembering the details from last time.
- Clients want to see it working
- The benefits or HR lead who signs the contract wants to know the program is used and that employees get quick answers. Pulling that together by hand each quarter is slow and easy to get wrong.
- Staffing to the peaks
- Requests climb before holidays and long weekends. Without a clear view of who holds what, some concierges drown while others wait for work.
How MyRolodex supports a corporate concierge provider
- A profile for every employee you serve
- Preferences, allergies, family birthdays and loyalty numbers build up with each request, so an employee’s second request is easier than the first, whoever on your team picks it up. See member profiles
- Requests routed to the right concierge
- Incoming emails and texts are matched to the employee, attached to the right request and sent to the person or team you assign to that kind of work. Managers can reassign any request in a click. See request management
- One desk, no new habits
- Your team keeps its own phones, Gmail or Outlook. Every conversation syncs to the right employee and request, so the desk works as one even when employees write to a single concierge. See email and text sync
- Numbers for managers and quarterly reviews
- Response times, request volume by type and month, workload per concierge, and spend by vendor come straight from the work, with no spreadsheet to rebuild. See reporting
- A program under your name
- Employees can reach your desk through a white-label app and web portal carrying your brand, with their plans, confirmations and messages in one place. See member app and portal
A day on a corporate concierge desk
8:30 am
Overnight emails from employees at different client companies have already been matched to their profiles and routed: dining to the dining team, travel to the travel desk, gifting to its owner.
9:45 am
An employee texts for a table to celebrate a promotion. Her profile shows she is vegetarian and prefers a quiet room, so the concierge books the right place on the first try.
11:15 am
One concierge calls in sick. The desk manager checks workload, reassigns her open requests in bulk, and colleagues pick them up with every message and note attached.
1:30 pm
A request comes in for flowers to welcome an employee’s new baby. The concierge orders from a florist on the vendor list at the negotiated rate, and the cost is logged on the request.
4:00 pm
The desk manager reviews the week’s response times by concierge and request volume by type, sees travel requests climbing ahead of the holidays, and adjusts next week’s assignments.
Corporate concierge: common questions
Anything else, write to hello@myrolodexcrm.com.
Can one team serve employees of several client companies?
Yes. Each employee has their own profile, and your whole team works from one shared request list, routed by the kind of work. In a walkthrough, tell us how your programs are structured and we’ll show you how they map onto MyRolodex.
Can we report results to each client company?
Reporting covers response times, request volume by type and month, team workload, and spend and commission by vendor, plus the full history of any individual employee. If your contracts call for a separate report for each client company, raise it in a walkthrough so we can show exactly what’s available for your setup.
Do employees need to download an app?
No. Employees can keep emailing or texting your desk, and those messages sync to MyRolodex from your team’s own phones and inboxes. A white-label app and web portal in your name is there for programs that want one.
How is employee information kept private?
Access is role-based, so each concierge sees what their role allows. Sensitive documents such as passports go in an encrypted vault where every view is logged. Profiles and conversation history belong to your company rather than to individual staff.
Can we track vendor rates and commission?
Yes. Each vendor’s negotiated rates and commission agreement are on file, commission is logged on every booking, and reporting totals it by vendor and period alongside what employees spent.
Your members expect you to remember. Now your whole team can.
