AI insights for concierge teams, with your judgment in charge
MyRolodex brings AI insights for concierge teams into the work you already do: suggestions drawn from each member’s preferences, history and upcoming dates. Each shows why it appeared, and nothing happens until your team approves it.
Intelligent insights
3 to review
Sophie Aldine turns 9 on June 14
Send flowers from the Aldines’ usual florist, with a note from the team.
Why: From Mrs. Aldine’s card: always sends flowers for family birthdays.
The Moreaus’ passports expire before Gstaad
Book renewal appointments now so they’re back before the December trip.
Why: Passports renew March 2027. Christmas in Gstaad is on every year.
Julian Kessler hasn’t booked in six weeks
He usually books dinner twice a month. A quick check-in text may be welcome.
Why: Request history shows a regular rhythm that has stopped.
Great service is remembering before the member asks
The moments members notice are the ones nobody asked for: flowers on a grandchild’s birthday, a reminder that a passport runs out before the ski trip. Your team knows these details, but across hundreds of members, some of them slip past.
Calendar reminders help for a while, then pile up and get ignored. What your team needs is a short, relevant list each morning that connects what you know about a member with what’s coming up, and leaves the decision with people.
From a detail on a profile to a thoughtful gesture
- 1
MyRolodex reads what you already record
Preferences, family birthdays, document expiry dates, request history and travel plans are all on member profiles. Intelligent insights use only that information, so there’s nothing extra to set up or feed in.
- 2
A suggestion appears with its reason
For example: Sophie Aldine turns 9 on June 14. The suggestion explains that Mrs. Aldine always sends flowers for family birthdays, so the concierge can judge whether it still fits this year.
- 3
A team member decides
Camille approves, edits or dismisses it. Approving opens a gifting request with the florist and the card note filled in. Dismissing it clears the suggestion from the list.
- 4
The work follows your normal process
An approved suggestion becomes an ordinary request, with an owner, a status and a history. It shows up in reporting like any other piece of work your team completes.
What intelligent insights look for
- Birthdays and anniversaries
- Family birthdays and anniversaries from each profile, surfaced early enough to plan a gift or a reservation rather than a rushed message on the day.
- Expiring documents before travel
- Passports, visas and licenses compared against upcoming trips. The Moreaus’ passports renew March 2027, so the insight appears while there’s still time to book appointments.
- Members who’ve gone quiet
- When a member with a regular rhythm stops booking, MyRolodex notices the gap and suggests a check-in, with their usual pattern shown as the reason.
- Things to book early
- Annual trips, holiday tables and events that sell out are flagged weeks ahead, based on what each member booked in past years.
- AI insights for concierge teams, never automation
- Suggestions never send a message, place a booking or contact a vendor on their own. A person on your team approves every action first.

Intelligent insights: common questions
Anything else, write to hello@myrolodexcrm.com.
Do intelligent insights ever contact members on their own?
Never. An insight is a suggestion shown to your team, nothing more. It can fill in a request or draft a message, but a team member reviews and approves it before anything reaches a member, a vendor or a calendar.
Where does the information behind each suggestion come from?
From your own records in MyRolodex: member profiles, family details, document dates, request history and synced conversations. Each suggestion names the specific detail it relied on, so your team can check the reasoning instead of taking it on trust.
Can we turn off certain kinds of suggestions?
Yes. Managers choose which kinds of insights the team sees, such as birthdays, document expiries or quiet members. If a category isn’t useful for how you work, switch it off and the list stays focused on what matters to your members.
How many suggestions will my team see each day?
It depends on the size of your membership, but the list is meant to stay short. Insights are ranked by timing and relevance, so the items at the top are the ones where acting today makes a real difference to the member.
Who sees a suggestion about a member?
The concierge who looks after that member sees it, and so do managers. Anyone with access to the member’s profile can view it, and every approval or dismissal is recorded with the name of the person who made it.
Your members expect you to remember. Now your whole team can.
