Mass emails don’t suit a members’ club

The quickest way to make a private club feel ordinary is to send everyone the same email. A wine dinner invitation means something to the member who collects Burgundy and nothing to the one who doesn’t drink.

Your team already knows who would love each event. That knowledge sits in member profiles and request history, but most marketing tools can’t see it, so it never shapes who gets invited or how the invitation is worded.

From an idea to a full room

  1. 1

Build an audience from what you know

Choose members by preference, history or profile: Burgundy lovers, families with young children, members who spend Christmas in the Alps. The list updates itself as profiles change.

  2. 2

    Write once, send everywhere

Draft the invitation in your house style. It goes out as a member app notification, an email and, for members who prefer it, a text from the concierge who knows them.

  3. 3

    Track RSVPs and requests

Replies land in MyRolodex. If a member asks for a table for six or a car home afterwards, it becomes a request for your team rather than an email lost in a shared inbox.

  4. 4

    See what worked

After the event, see who was invited, who replied and who attended, so the next invitation goes to an even better list.

What member marketing includes

Audiences built from member profiles
Segments based on preferences, family details, spending, request history or tier, kept current automatically as your team updates profiles.
Invitations and updates in your brand
Member app notifications, emails and texts that carry your name, logo and voice, never the name of a marketing platform.
Event RSVPs and guest lists
Capacity limits, waitlists, plus-ones and dietary notes pulled from each member’s profile, so the kitchen knows about a shellfish allergy before the night.
Suggestions on who to invite
Intelligent insights recommend members likely to enjoy an event based on what they’ve booked before. Your team decides who actually receives it.
Referrals and prospective members
Track introductions from existing members and move prospective members from first conversation to welcome, with every touchpoint on record.
Member marketing for private clubs, with consent built in
Members choose how they hear from you. Unsubscribes and quiet hours are respected automatically across every channel.

Member marketing: common questions

Anything else, write to hello@myrolodexcrm.com.

Does this replace Mailchimp or HubSpot for marketing?

For communicating with your members, it usually does. Invitations and updates go out from the same profiles your team uses every day. If you also run large public campaigns for brand awareness, a dedicated marketing platform may still suit that work better.

Can a concierge send an invitation personally?

Yes. For your most valued members, an invitation can go out as a text or email from their own concierge, using that person’s usual phone or inbox. It still syncs to MyRolodex, so the RSVP is tracked.

How do you handle consent and unsubscribes?

Each member chooses which channels they’re happy to hear from you on. Opt-outs apply across the app, email and text, and quiet hours keep invitations from arriving late at night.

Can we track prospective members?

Yes. Introductions and enquiries become prospective member records with their own history. When someone joins, their profile carries over, so nothing they told you along the way is lost.

Your members expect you to remember. Now your whole team can.
