A PeopleVine alternative for luxury concierge teams
PeopleVine is a strong member experience platform for clubs and hospitality brands. If you are looking at a PeopleVine alternative, the useful question is where your service happens: inside your own spaces, or out in the world.
The short version
PeopleVine describes itself as the guest and member experience CRM for hospitality brands. Its documentation covers the life of a club: membership applications and approvals, dues and house accounts, family billing, events and ticketing, guest passes, a check-in app, and a member portal where members book dining, spa and workspaces. It also connects to more than 40 systems across POS, PMS, payments, access control and reservations, so a member can be recognized at every outlet on property.
MyRolodex is built for a different center of gravity. Lifestyle management firms, family offices and concierge desks spend most of their day on requests that happen elsewhere: a table at a restaurant you don’t own, a villa in Mykonos, a jet, a birthday gift. That work runs through outside vendors, negotiated rates and commissions, and it arrives by text and email to individual staff.
So the two products overlap on member profiles, billing and a member-facing app, and diverge on what they are organized around. PeopleVine is organized around the club’s amenities. MyRolodex is organized around the request, the vendor and the conversation.
Side by side, for concierge work
| What you need | PeopleVine | MyRolodex |
|---|---|---|
| Built for | Clubs and hospitality brands running their own amenities | Lifestyle firms, concierge desks and clubs serving members off property |
| Membership applications | Multi-step applications, approvals, partner profiles and nominations | Prospective members and referrals tracked through member marketing |
| Dues and member billing | Subscriptions, dues, house accounts and family billing | Dues by tier, vendor costs passed through, service fees, one statement per family |
| On-property dining, spa and workspace bookings | Native schedulers, or SevenRooms, OpenTable and Book4Time through integrations | Not our focus; we track bookings made with outside venues |
| Check-in, digital ID cards and guest passes | Check-In App, digital ID cards and shareable guest passes | Not our focus |
| Travel, gifting and off-property requests | Concierge chat in the portal; the product centers on club amenities | Every request with an owner, status, vendor and audit history |
| Talking with members | Email, text and push sent from the platform, plus portal chat | Syncs what staff already send from their own Gmail, Outlook and phones |
| Outside vendors and commission per booking | Not a stated focus | Vendor records with negotiated rates and commission logged on each booking |
| Passports, licenses and cards | Not a stated focus | Encrypted vault with expiry tracking and every view logged |
When PeopleVine is the better choice
If you run a members’ club or hospitality group with its own dining rooms, spa, workspaces or rooms, PeopleVine is built for you. Check-in at the door, guest passes, house accounts that collect F&B and spa charges, and member recognition inside your POS and PMS are the core of what it does, and MyRolodex does not try to replace them.
It is also the natural pick if you already run SevenRooms, OpenTable, Book4Time or a hotel PMS and want one member login across all of them. PeopleVine’s integration catalog exists for exactly that job. If most of your members’ requests are fulfilled inside your own walls, choose the platform built around those walls.
Moving from PeopleVine to MyRolodex
- 1
Decide what moves
Clubs that keep on-property amenities often keep those systems and move the concierge desk to MyRolodex. Firms whose work is mostly off property usually move everything. We help you draw that line before any data moves.
- 2
Export members and history
Export member profiles, family links, preferences and membership programs as CSV files. We map them onto MyRolodex profiles, so allergies, birthdays and loyalty numbers carry over.
- 3
Add vendors and connect inboxes
Load your vendor book with rates and commission terms. Each person on the team connects their Gmail or Outlook and their phone, and conversations start landing on the right member and request.
- 4
Switch dues billing on a set date
Pick a billing date, put cards and bank accounts on file in MyRolodex, and run the first statement cycle there. Keep the old system available for reference during a short overlap.
MyRolodex vs PeopleVine: common questions
Anything else, write to hello@myrolodexcrm.com.
Is MyRolodex a club management platform like PeopleVine?
Not in the same sense. MyRolodex does not run check-in, guest passes, on-property schedulers or POS integrations. It runs member profiles, requests, vendors, billing and a branded member app for teams whose work is mostly arranging things with outside vendors.
Can a club use PeopleVine and MyRolodex together?
Some clubs will want to: PeopleVine for the house, MyRolodex for the concierge desk that books travel, restaurants elsewhere and gifts. We don’t offer a direct PeopleVine integration, so talk to us in a walkthrough about how your team would split the work.
Does MyRolodex have a member app?
Yes. Members get an app and web portal under your club’s or firm’s own name, icon, colors and domain, on iPhone, Android and the web. It shows upcoming plans, confirmations, statements and documents, and lets members message their concierge directly.
How is messaging different?
In MyRolodex your team keeps texting and emailing from their own iPhone or Android, Gmail or Outlook. Those conversations sync to the right member and request automatically, so the history belongs to the company. Members who prefer WhatsApp can reach you through your company’s WhatsApp Business number, which lands in the same inbox.
How does pricing compare with PeopleVine?
PeopleVine’s cost depends on the package and integrations you choose, so ask them for a current quote. MyRolodex pricing is custom to your team and how you work. Book a walkthrough and we’ll put together a quote you can compare side by side.
