Spreadsheets vs a luxury concierge CRM: when the sheet stops working
Almost every lifestyle concierge firm starts on Excel or Google Sheets, and for good reason. Comparing a concierge CRM vs a spreadsheet comes down to one question: how much of your business now lives outside the sheet?
The short version
A spreadsheet is fast, familiar and already paid for. One tab for members, one for vendors, one for open requests, and a founder who knows where everything is. For the first few clients, that is often all you need.
The trouble starts as the team grows. Preferences get typed into a notes column, or never leave a WhatsApp thread. A lifestyle manager leaves and their context leaves with them. Commission from a villa booking never makes it onto the vendor tab, passport scans sit in a shared drive anyone can open, and nobody can say who changed a member’s allergy note or when.
MyRolodex is a CRM built only for luxury concierge and lifestyle management. Member profiles, requests with owners and status, vendor rates and commission, billing and an encrypted document vault come ready to use. You keep the parts of the spreadsheet habit that work, such as one place for everything, and lose the hand reconciling.
Side by side, for concierge work
| What you need | Spreadsheets | MyRolodex |
|---|---|---|
| Member preferences, family and key dates | A row per member, with details in whichever column has room | Structured profiles with preferences, allergies, family, birthdays and loyalty numbers |
| Who owns each request | A status column, accurate if someone remembers to update it | Every request has an owner, a status and an audit history |
| Emails and texts with members | Kept in each person’s inbox and phone, outside the sheet | Synced from staff’s own Gmail, Outlook, iPhone and Android onto the member’s record |
| Vendor rates and commission | A separate tab, reconciled by hand at month end | Negotiated rates on each vendor, commission logged per booking |
| Billing members | Totals copied from the sheet into invoices | Dues by tier, pass-through costs, service fees and one statement per member or family |
| Passports, licenses and cards | Scans in shared folders or details pasted into cells | Encrypted vault with every view logged and expiry dates tracked |
| Who can see what | Access is mostly set per file, so most of the team sees every member | Role-based access, with audit history |
| Answering “how are we doing?” | An afternoon of filters and pivot tables | Reports on response times, workload, request volume and commission by vendor |
| Cost and setup | Free or already paid for, with nothing to set up | Priced by quote after a walkthrough, with setup measured in days |
When a spreadsheet is the better choice
If you are a solo concierge with a handful of clients, a well-kept spreadsheet is probably fine. You hold the context in your head, you answer every message yourself, and there is no handover to lose. Spending money and time on software before the business needs it is a poor trade.
A sheet also works if you rarely handle travel documents or payment details, and if commission is simple enough to total once a month. The signs you have outgrown it are practical: a second lifestyle manager joins, a request slips because two people thought the other had it, or you catch yourself searching chat history for a member’s seating preference. That is the moment to look at a concierge CRM.
Moving from a spreadsheet to MyRolodex
- 1
Tidy and export your tabs
Save your member, vendor and open-request tabs as CSV files. You don’t need a perfect sheet; duplicate rows and messy notes columns are normal, and we sort them out together.
- 2
Map columns onto profiles
We map each column to a MyRolodex field with you, so preferences, family members, loyalty numbers and vendor rates land in the right place instead of a catch-all notes field.
- 3
Connect email and phones
Each person on the team connects their Gmail or Outlook and their phone. New conversations then sync to the right member and request, so the record builds itself from here on.
- 4
Retire the sheet
Keep a read-only copy for reference while new requests go through MyRolodex. Move passport scans from shared folders into the vault, then remove the originals.

Anything else, write to hello@myrolodexcrm.com.
Can we import our Google Sheet or Excel file?
Yes. Export each tab as a CSV and we map the columns to MyRolodex fields with you. Members, family details, known preferences and your vendor list all carry over, so profiles are useful from the first day.
When should a concierge firm stop using spreadsheets?
Usually when a second person starts handling members. Shared context is what a sheet does worst: who owns a request, what was promised by text, which vendor paid commission. If those questions come up weekly, the sheet is costing you more than it saves.
Can we still get our data into a spreadsheet?
Yes. Reports can be downloaded when someone needs a copy, and billing exports to QuickBooks or Xero. The difference is that nothing depends on the spreadsheet any more; it is an output, not the system.
Is a CRM worth it for a small lifestyle concierge firm?
It depends on your size. A solo operator with a few clients may not need one. Once you have a small team, the value is in what stops slipping: requests with clear owners, commission logged on every booking, and member history that stays when someone leaves.
How much does MyRolodex cost compared with a spreadsheet?
A spreadsheet is close to free, and MyRolodex is not. Pricing is custom to your team and how you work. Book a walkthrough and we’ll put together a quote, so you can weigh it against the hours your team spends reconciling sheets.
