Keep WhatsApp. Put a system behind it.

Your members already message you on WhatsApp, and that is not going to change. Managing clients on WhatsApp works until the history, the preferences and the open requests all live on one lifestyle manager’s phone.

The short version

For many lifestyle concierge firms, WhatsApp is the business. Members send a voice note at midnight asking for a table on Friday, a photo of a watch they want sourced, a passport scan for a flight. It is fast, personal and exactly how members like to reach you. We would not ask you to give it up.

The problem is what sits behind it, which is usually nothing. Each conversation lives on one person’s phone. Preferences are buried in months of chat history, and the only way to find a member’s wine order is to scroll. When a lifestyle manager goes on holiday or leaves, their context goes with them. Requests have no owner beyond whoever replied last, commission is tracked somewhere else or not at all, and passport photos sit in threads with no record of who has seen them.

MyRolodex keeps the channel and adds the system of record. WhatsApp is supported through your company’s WhatsApp Business number, and those messages land in the same unified inbox as email and texts, where your team can reply, alongside member profiles, requests with owners and status, vendor commission and billing. It does not sync staff’s personal WhatsApp accounts.

When WhatsApp on its own is enough

If you are one person with a handful of members, WhatsApp and a good memory can carry you a long way. Every conversation is already on your phone, you never hand over, and nobody else needs to find a preference or a passport.

As a member-facing channel, WhatsApp is hard to beat at any size, and MyRolodex does not try to replace it. What it is not is a back office. The moment a second lifestyle manager covers your members, or you want to know which vendors earned commission last quarter, you need something behind the chat that the whole team can see.

Adding MyRolodex behind WhatsApp

  1. 1

Connect your company WhatsApp Business number

We connect your firm’s WhatsApp Business number so member messages arrive in the unified inbox with email and texts. If members currently message staff on personal numbers, this becomes the number you share with them instead.

  2. 2

    Import members and vendors

Bring in members from a spreadsheet or contact list, with family details and loyalty numbers, then your vendor book with rates and commission terms.

  3. 3

Move what matters out of the chats

Past chats on personal phones stay where they are. During setup, most teams copy the details that matter, such as allergies, seating preferences and key dates, onto each member’s profile, and move passport scans into the vault.

  4. 4

    Connect email and phones

Each person on the team connects their Gmail or Outlook and their phone, so emails and texts sync to the right member and request alongside WhatsApp.

MyRolodex vs WhatsApp: common questions

Anything else, write to hello@myrolodexcrm.com.

Does MyRolodex sync my team’s personal WhatsApp?

No. MyRolodex supports WhatsApp through your company’s WhatsApp Business number, connected via Twilio. It does not read or sync anyone’s personal WhatsApp account. Messages to the company number land in the unified inbox with email and texts, and your team replies from there within WhatsApp’s usual messaging window.

Do our members have to stop using WhatsApp?

No. Members keep messaging you on WhatsApp. If they currently message a lifestyle manager’s personal number, the only change is that they message your company number instead, which the whole team can see.

Can we bring over our old WhatsApp chat history?

Past conversations on personal phones are not imported. Most teams spend part of setup moving the important details, such as preferences, allergies, key dates and documents, onto member profiles and into the vault, which is more useful than a raw chat log.

WhatsApp is encrypted. Why is a vault better for passports?

Encryption protects a message in transit. The issue is where the photo ends up afterwards: in a thread on someone’s phone, with no expiry date and no record of who opened it. The MyRolodex vault stores passports, licenses and cards encrypted, logs every view and tracks expiry dates.

What about texts and email?

They sync from staff’s own iPhone, Android, Gmail and Outlook onto the right member and request. Together with the company WhatsApp number, that puts the conversations members actually have with your firm in one place.
